WOLFPACK MARTIAL ARTS MEMBERSHIP TERMS & CONDITIONS
These Membership Terms & Conditions apply to all members of Wolfpack Martial Arts, including parents or guardians accepting membership on behalf of a child or young person. By joining Wolfpack Martial Arts and accepting membership, you agree to these Terms & Conditions.
1. Membership
1.1 Membership is personal to the individual named on the membership and may not be transferred to another person.
1.2 Members, or their parent/guardian where applicable, are responsible for providing accurate and up-to-date information when joining Wolfpack Martial Arts.
1.3 Membership provides access to the classes and services included within the membership selected at the time of joining, subject to availability, timetable changes and any applicable booking requirements.
1.4 Wolfpack Martial Arts reserves the right to review and update its membership structure, class timetable and services from time to time.
2. Fees & Payments
2.1 Membership fees are payable in accordance with the payment arrangement agreed when joining.
2.2 Members are responsible for ensuring that payments are made on time and that payment details remain accurate and up to date.
2.3 Where a payment is unsuccessful, Wolfpack Martial Arts may contact the member to arrange payment.
2.4 Persistent or unresolved non-payment may result in suspension or cancellation of membership.
2.5 Membership fees are payable regardless of individual attendance unless a specific freeze or suspension has been agreed in accordance with these Terms & Conditions.
3. Cancellation by the Member
3.1 All membership cancellations must be submitted in writing to admin@wolfpack.scot. No other method of cancellation will be accepted.
3.2 Membership requires one full calendar month's notice to cancel.
3.3 For example, if a cancellation request is received at any point during August, September will remain payable and the membership will end on 30 September.
3.4 Cancellation requests should clearly state the member's name and intention to cancel.
3.5 The member remains responsible for membership fees during the applicable notice period.
4. Cooling-Off & Consumer Rights
4.1 Where a membership is purchased online or otherwise at a distance, the member may have statutory cancellation rights under applicable consumer legislation.
4.2 Any applicable statutory rights will continue to apply and nothing in these Terms & Conditions is intended to remove or restrict those rights.
4.3 Where an exemption or different cancellation period applies by law, the applicable legal requirements will take precedence.
5. Cancellation or Suspension by Wolfpack Martial Arts
5.1 Wolfpack Martial Arts reserves the right to suspend or terminate a membership where there are serious or repeated breaches of these Terms & Conditions.
5.2 Circumstances that may result in immediate suspension or cancellation include, but are not limited to:
serious or repeated breaches of the Wolfpack Code of Conduct;
violence or physical aggression;
threatening, abusive, intimidating or discriminatory behaviour;
serious safeguarding concerns;
behaviour that creates a serious or unacceptable risk to other members, staff, coaches or visitors;
deliberate or serious damage to Wolfpack property or facilities;
serious misuse of the membership or facilities;
illegal activity connected with Wolfpack Martial Arts;
persistent failure to pay membership fees; or
any other conduct which Wolfpack Martial Arts reasonably considers to represent a serious risk to the safety, wellbeing or proper operation of the club.
5.3 Where appropriate, Wolfpack Martial Arts may suspend membership while an incident or concern is investigated.
5.4 Where membership is terminated due to serious misconduct or a serious breach of these Terms & Conditions, the member may not be entitled to a refund of fees already paid, subject to any applicable statutory rights.
6. Temporary Suspension or Freeze
6.1 Wolfpack Martial Arts may offer temporary membership freezes or suspensions at its discretion and subject to any applicable conditions.
6.2 A freeze must be agreed with Wolfpack Martial Arts in advance and does not automatically apply because a member is unable to attend.
6.3 Membership fees remain payable unless a freeze or suspension has been formally agreed.
7. Classes, Attendance & Booking
7.1 Members should attend the classes appropriate to their age, membership and ability.
7.2 Members are expected to arrive on time and follow the instructions of coaches and staff.
7.3 Where classes require advance booking, members are responsible for making and managing their own bookings.
7.4 Wolfpack Martial Arts may introduce reasonable booking restrictions, cancellation requirements or attendance policies where necessary to manage class capacity and availability.
7.5 Members should notify Wolfpack Martial Arts where they are unable to attend a booked session where reasonably possible.
7.6 Wolfpack Martial Arts reserves the right to amend class times, coaches, locations or session content where reasonably necessary.
8. Health, Fitness & Medical Conditions
8.1 Kickboxing is a physical activity and participation carries inherent risks, including the risk of injury.
8.2 Members are responsible for informing Wolfpack Martial Arts of any medical condition, injury, disability, medication or other circumstance that may affect their ability to participate safely.
8.3 Members should seek appropriate medical advice where they are unsure whether participation in physical activity is suitable for them.
8.4 Wolfpack Martial Arts and its coaches are not responsible for diagnosing medical conditions or determining whether a member is medically fit to participate.
8.5 Members must inform a coach if they become unwell, injured or otherwise unable to participate safely during a session.
8.6 Parents or guardians are responsible for providing accurate and relevant health information concerning children and young people in their care.
9. Safeguarding
9.1 Wolfpack Martial Arts is committed to providing a safe, respectful and inclusive environment for children, young people and adults.
9.2 Members, parents and guardians are expected to follow Wolfpack Martial Arts' safeguarding procedures and to raise any safeguarding concerns with an appropriate member of staff.
9.3 Wolfpack Martial Arts may take appropriate action where a safeguarding concern is identified, including restricting participation or suspending membership while concerns are considered.
9.4 Wolfpack Martial Arts' safeguarding policies and procedures are available through the Wolfpack website.
10. Conduct & Behaviour
10.1 All members, parents, guardians, visitors, coaches and staff are expected to behave respectfully and appropriately.
10.2 The following behaviour will not be tolerated:
bullying or harassment;
threatening or abusive behaviour;
discrimination;
violence or intimidation;
deliberate disruption of classes;
inappropriate behaviour towards children, young people, members, coaches or staff;
damage to property; or
behaviour which compromises the safety or wellbeing of others.
10.3 Parents and guardians are responsible for ensuring that children and young people in their care understand and follow the expected standards of behaviour.
10.4 Serious or repeated breaches may result in suspension or termination of membership.
11. Sparring, Contact & Training Safety
11.1 Sparring and contact activities involve additional risks and are undertaken voluntarily and in accordance with Wolfpack Martial Arts' training procedures.
11.2 Members must follow the instructions of coaches at all times during sparring and contact activities.
11.3 Appropriate protective equipment must be worn where required.
11.4 Members must not participate in sparring or contact activities where they are injured, unwell or otherwise unable to part
11.5 Coaches may remove a member from a sparring or contact activity where they consider this necessary for safety.
11.6 Members must immediately report injuries, suspected concussion or other concerns to a coach.
12. Children & Young People
12.1 Where membership is held by a child or young person, the parent or guardian remains responsible for providing accurate information and ensuring that Wolfpack Martial Arts is informed of any relevant changes.
12.2 Parents and guardians must ensure that children arrive and leave in accordance with Wolfpack Martial Arts' arrangements for the relevant class
12.3 Parents and guardians must inform Wolfpack Martial Arts of any relevant medical, behavioural, safeguarding or other circumstances that may affect the child's participation.
12.4 Wolfpack Martial Arts may refuse participation where appropriate information has not been provided or where it considers participation to be unsafe.
13. Photography, Video & Media
13.1 Wolfpack Martial Arts may take photographs and video footage during classes, events, gradings, competitions and other activities.
13.2 Wolfpack Martial Arts operates an opt-out system for photography and videography.
13.3 Unless a member has opted out, photographs and video may be used for:
Wolfpack Martial Arts' social media accounts;
the Wolfpack Martial Arts website;
Wolfpack Martial Arts marketing and advertising;
promotional materials; and
content relating to Wolfpack Martial Arts' classes, events, activities and achievements.
13.4 Images and video are intended for Wolfpack Martial Arts' own social media, website and marketing/promotional purposes only.
13.5 Wolfpack Martial Arts will not sell photographs or video footage of members to third parties.
13.6 Members who do not wish to appear in photography or video for these purposes may opt out by completing the relevant Photography & Videography Opt-Out Declaration.

14. Personal Belongings
14.1 Members are responsible for their own personal belongings while attending Wolfpack Martial Arts.
14.2 Valuable items should not be brought into the training area unless necessary.
14.3 Wolfpack Martial Arts accepts no responsibility for loss or damage to personal belongings except where liability cannot lawfully be excluded or limited.
15. Equipment & Facilities
15.1 Members must use Wolfpack Martial Arts equipment and facilities responsibly and in accordance with coach instructions.
15.2 Any damaged or faulty equipment should be reported to a member of staff immediately.
15.3 Members must not deliberately misuse or damage equipment or facilities.
15.4 Members may be held responsible for deliberate or negligent damage caused to Wolfpack Martial Arts property, subject to applicable law.
16. Changes to Terms & Conditions
16.1 Wolfpack Martial Arts may update these Terms & Conditions from time to time where reasonably necessary, including to reflect changes in the law, services, membership arrangements or club procedures.
16.2 Where a material change affects members' rights or obligations, Wolfpack Martial Arts will provide reasonable notice where appropriate.
16.3 The current version of these Terms & Conditions will be available on the Wolfpack Martial Arts website.
17. Temporary Closure & Changes to Classes
17.1 Wolfpack Martial Arts may occasionally need to cancel, reschedule or alter classes due to circumstances including, but not limited to:
public holidays;
competitions or events;
coach availability;
maintenance;
health and safety concerns;
severe weather;
emergencies; or
circumstances outside Wolfpack Martial Arts' reasonable control.
17.2 Wolfpack Martial Arts will provide reasonable notice of planned changes where possible.
17.3 Planned Annual Closures
Wolfpack Martial Arts has planned periods of closure each year to allow for staff and coach holidays, maintenance and a general break from training. The club will normally close for:
Two weeks over the Christmas and New Year period; and
Two weeks during the summer period.
These planned closure periods are factored into the annual membership pricing. Membership fees are calculated on the basis of the overall annual membership provision and are spread across the agreed payment schedule for convenience. As a result, membership payments do not reduce, pause or require adjustment during these planned closure periods, and members are not required to submit a separate membership freeze request for these closures. The exact dates of the annual Christmas and summer closures will be communicated to members in advance.
17.4 Nothing in this section affects any statutory rights members may have.
18. Liability
18.1 Wolfpack Martial Arts takes reasonable steps to provide a safe training environment and to manage the risks associated with its activities.
18.2 Members acknowledge that participation in kickboxing and physical training carries inherent risks, including the possibility of injury.
18.3 Members are expected to follow coach instructions, training procedures and safety requirements.
18.4 Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence where such liability cannot legally be excluded.
18.5 Nothing in these Terms & Conditions affects any statutory rights available to consumers.
19. Complaints
19.1 Wolfpack Martial Arts aims to resolve concerns fairly and promptly.
19.2 Complaints should be submitted in writing to: admin@wolfpack.scot
19.3 Where appropriate, Wolfpack Martial Arts will investigate the matter and respond within a reasonable period.
19.4 Safeguarding concerns should be raised through the appropriate safeguarding route and should not rely solely on the general complaints process.
20. GDPR & Privacy
20.1 Wolfpack Martial Arts collects and processes personal information necessary to operate memberships, provide services, communicate with members and meet its legal and administrative obligations.
20.2 Personal information will be handled in accordance with applicable data protection legislation and the Wolfpack Martial Arts GDPR / Data Protection Policy.

21. Electronic Acceptance
21.1 Membership Terms & Conditions may be accepted electronically through the Wolfpack Martial Arts membership system.
21.2 By electronically accepting these Terms & Conditions, the member confirms that they have had the opportunity to read and understand them.
21.3 Where the member is under 18, acceptance must be completed by a parent or guardian with appropriate authority.
21.4 The electronic record of acceptance may be retained by Wolfpack Martial Arts as evidence that the Terms & Conditions were accepted.
22. Governing Law
22.1 These Terms & Conditions are governed by the law applicable in Scotland.
22.2 Any disputes will be subject to the jurisdiction of the Scottish courts, subject to any applicable consumer rights.

By joining Wolfpack Martial Arts and accepting these Terms & Conditions, you confirm that you have read and agree to be bound by these Terms & Conditions. For members under 18, acceptance is provided by the parent or guardian on behalf of the young person.
